How to use Manual Entry in your Income Statement

Manually Entering Data into the Income Statement

When budgeting and forecasting, there are times when you know exactly what a value should be — such as fixed rent, material costs, or expected sales.

The Manual Entry method is PlanGuru’s most basic projection method. It’s also one of the most commonly used because of its flexibility and simplicity.

1️⃣ How Manual Entry Works

  • Yellow cells = Editable → enter values directly.

  • White cells = Locked → values are calculated by another projection method or formula.

  • By default, every new account is assigned the Manual Entry method.

2️⃣ Selecting the Manual Entry Method

  1. Double-click an account, or right-click and select Edit.

  2. In the projection method selector window, choose Manual Entry.

3️⃣ Manual Entry Options

Option A: Enter Amounts Directly

  • Type numbers into individual cells (monthly or annual).

  • Use the grid inside the method selector window to see historical values alongside projected ones.

  • Or enter values directly into the Income Statement.

Option B: Copy Amounts Forward

  • Right-click a cell → Copy to Right.

  • That value is applied to all future months.

  • Useful for fixed amounts like rent expense.

Option C: Apply Monthly Amount for All Years

  • Enter a number in the first month of a year.

  • That value auto-fills across all months for that year.

Option D: Allocate an Annual Amount

  1. Enter an annual total in the Full Year column.

  2. Select how it should be allocated across months:

    • Evenly distributed.

    • Based on last year’s proportions.

    • Using a seasonality profile from the Assumptions tab.

    • Custom seasonality (enter monthly percentages for this account).

4️⃣ Overriding Values

Regardless of which option you use:

  • You can always override a cell by typing directly into it.

  • Manual overrides apply immediately to that specific period.
